Vehicle Sign-Out Procedures

The Public Works Department will maintain the official vehicle sign-out log. It is  worthwhile to plan trips as far in advance as possible to ensure that a vehicle will be available. Vehicles will be reserved on a first come, first served basis. Following are the procedures for signing out a vehicle:

1. A reservation may be called in to Public Works at extension 447 or 440, or may be sent via email to pworks@bell.mma.edu.  Authorized personnel such as Department Heads, Division Heads, Club Advisors, Professors or other Academy personnel may make reservations. Reservation information should include the following information:

a. Date(s) of travel

b. Departure and return times

c. Name of the approved driver

d. Type of vehicle requested (small van for up to 7 passengers or large van for up to 15 passengers (including the driver)

2. Prior to making a trip, the authorized driver must visit the Public  Works Department, complete a trip record form, leave a complete list of passengers that will be in each vehicle and pick up keys and credit cards. If the departure time is before 7:00 AM, later than 3:30 PM or on a weekend, the driver must contact the Department of Safety and Security which will send an officer to Public Works to assist in completing the sign-out procedures.

3. Upon returning to campus the vehicle shall be immediately returned to the Public Works parking lot. Vehicles should be parked in the marked slots next to the building and keys and credit cards returned to the office or placed in the blue key box outside the overhead door.
